Welcome! We're excited to begin automating your new patient registrations. Here's how it all works...
Patients complete the online registration form, and the automation will register them in your clinical system
You'll get a shiny new registration form link for your website (and a QR code poster to stick up around your practice). This is how patients will register!
The registration form takes about 10 minutes to complete and asks patients all the NHSE-required questions you'd expect, as well as checking catchment area and asking additional questions through our local form to capture everything you need to provide high quality care to patients.
Once patients have completed their registration form, the automation securely accesses EMIS or SysytmOne and registers the patient as if by ⨠magic ⨠with all the clinical coding.
We let you know when a patient has been registered in three ways
ā”You can expect that between 80% and 95% of registration forms are automated
Weāll let you know with an email entitled āā New patient registeredā. This means the patient can be found in your clinical system and thereās nothing for you to do.
š We might ask you to review a registration
Such as if the patient says something we think you should know about. Weāll let you know with an email entitled āš Inspection needed, please review registrationā. This means we have registered the patient, but we want you to take a look at š® Signals.

āļøSometimes we need help to complete complex registrations
This might be where we canāt trace the patient on Spine and we donāt think they need a new NHS number, or safeguarding concerns where children are being registered without a parent.
Weāll let you know about these with an email entitled āāAction needed, please confirm detailsā.
š GP2GP
EMIS is now automatically filing GP2GP records across their system as part of a new feature rollout. This process runs in the background and may appear as if it's coming from Healthtech-1, but itās fully managed by EMIS.
On our end we have automated the filing of event degrade and medication authorisation tasks!
ā How it works:
We handle event degrades and medication authorisation as needed, ensuring all tasks related to patient records are properly updated - meaning one less task on your plate!
Please note, filing of event degrades and medical authorisation is optional and careful consideration should be given before it is turned on by practices. Please ensure to read Optum's guide on degraded tasks.
ā¼ļø What we don't do:
Allergy degrade tasks: These tasks are not processed automatically. Youāll still need to manually handle these items if they appear in your task list.
We also don't file GP2GP on SystmOne as this is already an automated process within the clinical system.
