What the Archived folder contains, what the three sub-folders mean, and how long registration forms are accessible for.

What is the Archived folder?

The Archived folder contains all completed registrations that have no further action required. Within Archived you'll find three sub-folders:

  • Automated Registrations – registrations completed by us
    ​

  • Manual Registrations – registrations the practice team have marked as having been manually registered directly in EMIS/S1
    ​

  • Ignored – registrations that have been cancelled, either by the practice team or by our system. There are two reasons a registration may appear here:

    • The practice team marked it as ignored on the Hub because they didn't want it processed, or

    • It was ignored by our system (shown as "Ignored by sanny-bot") – this happens when a patient submits a registration to your practice and then submits another to a different practice shortly after. Our system processes the most recent submission and archives the earlier one, respecting the patient's latest intent and avoiding duplicate processing.

⚠️ If a registration has been ignored in error, the form can be reset for automated processing. Just send us an email or open a live chat and we'll get that sorted for you!


How long are registration forms accessible for?

In line with our data processing agreement with NHS England, registration forms remain accessible via the Hub for 60 days. This gives you time to refer back to them if needed.

Since 5 December 2025, once we have successfully automated a registration, a PDF of the registration form is also saved directly into the patient's clinical record, so you'll always have a copy to hand.


What happens after 60 days?

After 60 days, all patient-identifiable data is securely scrubbed from the registration form. The form will still be visible in the Archived folder on the Hub, but you won't be able to see any identifiable patient information.


Where else can I find a registration form?

NHS England automatically emails a copy of each completed registration form to your shared practice inbox as soon as a patient submits it. If you're looking for a form that's older than 60 days, we recommend checking that inbox.

How do I download a copy of a form before it's redacted?

  1. Use the Find a Patient feature to locate the registration form.

  2. Open the form and click Download as PDF in the top right corner.

  3. Done – the file will appear in your downloads folder!
