🔍 Monitoring Bookable Registrations and Appointments in the Hub

You can use the Hub to monitor patients who have registered, or booked an appointment at your practice

Where can I see which patients have registered or booked an appointment through Bookable?

  • Head to the Hub

  • Click on the "Bookable" tab

  • Select “Patients” from the left-hand menu

✅ That’s it! You’ll now be able to see the current status of any patient who has found your practice through Bookable.


📝 What does each Registration Status mean?

Here’s a breakdown of what each registrations status means 👇

🚫 Ignored

  • This means the registration form has been marked as ignored. This can happen for a few reasons, including:

    • We tried to contact the patient to confirm their details but couldn’t reach them

    • The patient was outside of your practice’s catchment area

  • In these cases the patient will not be registered and their booking will not be confirmed

⏳ Registration Not Submitted

  • The patient booked an appointment but didn’t complete the registration form.

    • After booking an appointment patients have 1 hour to submit their registration form to confirm their booking

    • If it’s not completed within that time, the appointment is not confirmed

⚙️ Pending Automation

  • Good news, the patient has registered, and we’re processing their registration.

⚠️ Automation Unsuccessful

  • We’ve attempted to register the patient, but automation couldn’t be completed straight away. This usually means:

    • We need a some more information from the patient to confirm their details and get them registered successfully

💡 Don’t worry - our Ops team reviews these registrations daily and will contact the patient directly to ensure we can get them registered as quickly as possible.

✅ Registered

  • Just what it sounds like - the patient is fully registered and they’ll appear in your clinical system 🎉


📅 What does each Booking Status mean?

Here’s what you’ll see on the booking side 👇

📝 Registration Only

  • The patient used Bookable to register with the practice, but did not book an appointment.

❌ Not Booked

  • The patient didn’t complete all required steps (for example, submitting their registration form), so the appointment could not be booked.

🚫 Cancelled

  • The appointment has been cancelled. This could have been done by the patient, the practice or the system.

    • If the patient cancelled, we ask them for a reason and this will be shown in the Booking Status column.

⏳ Pending Patient

  • The patient has requested an appointment, but we’re still waiting for their registration form

    • Once received, we will register the patient, book the appointment into the clinical system and confirm it with the patient.

⚙️ Pending Automation

  • The patient has submitted their registration form, but it hasn’t been fully processed yet.

✅ Booked

  • All done - the patient has been registered and their appointment has been booked in the clinical system. They are ready to be seen for their appointment 🎉

🔄 Rescheduled by Practice

  • Someone at the practice has moved the appointment to a new time or date
